Job Purpose
The purpose of this internship is to support the Human Resources Management Team with administrative duties across various HR functions. This includes assisting with performance-related targets, ongoing HR projects, and additional responsibilities that may arise within the department.
Key Performance Areas
Recruitment
- Assist with handling responses from applications and prepare the pre-shortlisting spreadsheet.
- Coordinate shortlisting and interview meetings on behalf of HR Business Partners.
- Issue regret letters to candidates after interviews.
- Prepare onboarding packs with line management, ensure work tools are ready, and open personnel files for new employees.
Training and Development
- Assist with the administration of bursary applications.
- Capture information on the Master Training Plan template.
- Check supporting documents and verify details with institutions.
- Compile bursary packs and prepare draft submissions for review by the HR Business Partner.
Sage 300 People Payroll and Leave
- Assist with preparing third-party payments.
- Distribute letters whenever needed.
- Reset employee passwords when required.
- Assist with reporting and verify HR-related information.
- Check weekly for pending leave that requires approval.
Performance Management
- Support the process to ensure that all employees participate in the Performance Cycle according to the PMDS Policy.
- Maintain accurate and complete information regarding the performance cycle for audit purposes.
General Administration
- Bind documents for meetings.
- Assist the HR department with administrative tasks such as photocopying, binding documents, filing, and recording CVs before shortlisting.
- Help with the coordination of meetings and related activities.
Ad Hoc Duties
- Perform any other tasks allocated by Management from time to time.
Minimum Qualification and Experience
- N6 or National Diploma in Human Resources Management, Psychology, or an equivalent qualification.
- No work experience is required.
